The Litigation Legal Assistant will provide comprehensive administrative and legal support to our litigation team. The role-holder will require strong multitasking skills, excellent communication, and the ability to thrive in a fast-paced environment.
Main responsibilities:
Calendar & Email Management:
- Coordinate lawyers’ schedules, book meetings and conference calls, manage email inboxes, and ensure timely responses and e-filing of correspondence
Document Preparation & Court Filings:
- Draft and format pleadings, motion records, books of authorities, and affidavits of service; Arrange for filing of court documents and schedule examinations for discovery
File Management:
- Maintain organized physical and electronic filing systems, ensuring accuracy and confidentiality
Billing & Financial Administration:
- Review and finalize prebills, monitor budgets and fee estimates, assist with quarterly reporting, and manage Accounts Receivable follow-up
Matter Management:
- Open new matters in the intake system, prepare retainer letters and zero-rate forms, and manage time entries and closures in Intapp
Administrative Support:
- Prepare and revise PowerPoint presentations, update client information in CRM systems, and maintain lawyer profiles
Travel Coordination:
- Arrange travel logistics including flights, hotels, car rentals, and conference registrations
Compliance & Professional Development:
- Track and record Continuing Professional Development (CPD) hours for lawyers
Skills and experience:
- A Legal Assistant diploma is required
- Strong experience supporting litigation lawyers in a corporate or law firm environment
- Familiarity with all levels of court procedures
- Proficient in using Microsoft Office and legal practice management systems
- Strong organizational, time management, and communication skills
- Exceptional attention to detail and able to exercise sound judgment
- Able to work independently and collaboratively within a team
- Commitment to maintaining confidentiality and professionalism

Travel requirements: Occasional travel may be required

The Canadian base compensation for this position is expected to be CAN$ 72000 to CAN$ 88000 annually if located in Toronto. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
