Description & Requirements

The Junior Practice Assistant - Contract (12 months) will provide administrative support and service to Associates, trainees, and others supported by the Secretarial Services team (SST).


Main responsibilities:


  • Print and scan materials
  • Prepare courier packages
  • Answer phones, route calls, and take messages
  • Update contacts in Outlook
  • Book travel arrangements through the Firm’s travel agency
  • Electronic and hard copy filing
  • Upload client document via SharePoint site or other internet site
  • Support on client intake (including engagement letters) and Billing as required
  • Utilize and review materials from Service Centres, to ensure maximum usage of these services and accuracy of output, including Document Services (DCS) and General Admin Services (GAS) (e.g. time entry, expense reimbursements, vendor invoices, and document edits)
  • Support logistics for external meetings, including the booking of meeting rooms (utilizes GAS for internal meetings)
  • Support with inbox and diary management as required
  • Support the team, and demonstrate willingness to upskill and learn with others
  • Document production for urgent jobs that are not suitable to be done by Document Services
  • Manage competing deadlines


Skills and experience:


  • Recent graduate or minimal experience in a corporate environment 
  • Proficient in MS Office Suite (i.e., Word, Excel, Outlook, PowerPoint, Access, Teams) 
  • Proactively seek to upskill 
  • Able to provide support to team members
  • Strong communication skills, both written and verbal
  • Able to provide continual attention to detail in completing assignments
