The Legal Secretary, Employment Practice Group will provide comprehensive administrative and secretarial support to a Partner and the Employment team, ensuring efficient daily operations and effective management of various tasks.
Main responsibilities:
Calendar & Meeting Management:
- Manage meeting and business schedule for Partners
- Schedule and support in logistics for internal and external meetings
Financial & Time Administration:
- Process time entry and transfer
- Manage business claims/reimbursements (including client-charged expenses)
- Maintain taxi reports with full documentation
Client & Matter Management:
- Conduct procedures to register new clients, new matters and/or other client registration tasks
- Conduct client searches, activate matter numbers
- Utilize various Intranet-based office systems
- Coordinate with Finance functions in relation to billing and fee collection
Business Travel Management:
- Coordinate all aspects of business travel, including booking, itinerary preparation, visa support, pre-trip approvals, and post-trip expense claims
Document & Information Management:
- Support in client document editing and management
Skills and experience:
- A university degree in Business, Legal Studies, or a related field is preferred and/or equivalent work experience is considered
- Enjoy a high level of interaction with clients/staff and provide a high standard of customer care
- Able to work under pressure, prioritize and keep calm
- Good timekeeping and able to work as part of a team
- Flexible in terms of work allocated
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Discretion and able to handle confidential information
- Proficient in Microsoft Office (Outlook, Excel, Word, and PowerPoint)
- Excellent command of written and spoken English
