The Practice Group (PG) Administrator will provide dedicated administrative, coordination, and operational support to Business Developers (BD’s). The role-holder will be responsible for executing the operational workload required to implement BDMC-defined strategies and initiatives, including coordination, tracking, preparation of materials, logistics, documentation, and follow-up. The individual’s support will enable Business Developers leaders to focus on strategy, stakeholder relationships, and decision-making.
Main responsibilities:
Executive and Administrative Support to Business Developers:
- Provide day-to-day administrative and coordination support to BD’s
- Manage calendars, meetings, calls, and related logistics for BDMC-led initiatives
- Prepare agendas, meeting materials, attendance lists, and action logs based on BD’s instructions
- Track meeting notes, decisions, action items, and deadlines, and ensure timely follow-up
Pipeline, Databases, and Tracking (Execution Support):
- Maintain BDMC-defined client lists, pipelines, trackers, and databases
- Update opportunity stages, next steps, owners, and timelines as instructed by BDMC
- Prepare status summaries and operational reports
- Ensure accurate and timely updates in Client Relationship Management (CRM) and internal systems based on BDMC input
Client Meetings, Campaigns, and 1:1 Engagement Support:
- Coordinate logistics for BDMC-led client meetings and one-to-one engagements
- Prepare and circulate agendas, client profiles, materials, and participant lists
- Send invitations and manage confirmations under BDMC direction
- Track outcomes, follow-up actions, and next steps following meetings
Events, Webinars, and Marketing Activities (Operational Support):
- Coordinate registrations, invitations, materials, calendars, and speaker logistics for BDMC-led events and webinars
- Prepare operational documents such as run-of-show, attendance lists, and checklists
- Provide logistical support during events and webinars, including technology and timing coordination
- Compile attendance data, feedback, and post-event follow-up actions using BDMC-provided inputs
Communications and Materials Administration:
- Format, edit, distribute, and archive communications, presentations, proposals, and marketing materials prepared by BDMC
- Maintain version control and repositories for BDMC content
- Implement updates to materials strictly according to BDMC instructions
Proposals, Request For Proposals (RFPs), and Documentation Support:
- Coordinate administrative aspects of proposal and RFP processes led by BDMC
- Track inputs, deadlines, approvals, and document versions
- Consolidate documentation and perform quality checks related to formatting and completeness
Reporting and Budget Administration Support:
- Extract financial, activity, and usage data as requested by BDMC
- Maintain expense trackers and supporting documentation
- Prepare operational summaries
Skills and experience:
- A bachelor’s degree in business administration, communications, or a related field
- Qualifications focusing on Marketing, Communications, Sales, or other related commercial subjects is an advantage
- Experience providing administrative or operational support to leaders in a professional services environment
- Demonstrated experience coordinating meetings, events, or complex administrative processes
- Strong organizational, follow-up, and prioritization skills
- High attention to detail and accuracy
- Strong analytical and communication skills
- Advanced proficiency in Microsoft Word, Outlook, PowerPoint, and Excel
- Strong verbal and written English communication skills required
- Experience working in an international organization is desirable
