The Practice Group (PG) Senior Administrator will support the development of the Firm’s most complex, cross-border, high-value and high-growth proposal opportunities. Working closely with the regional Business Development team, the role-holder will contribute to strategic pitches and panel opportunities for key clients and pursuits.
The role-holder will draft initial proposals based on the pitch lead’s brief, provide ongoing support throughout the pitch lifecycle, and assist with PG administrative activities as needed. The individual will focus on complex and time-sensitive opportunities while collaborating with the PG Administration team to share knowledge, strengthen capability, and ensure continuity through cross-training and backup support.
Main responsibilities:
Proposal support:
- Prepare first draft proposals based on the pitch lead's brief, including gathering relevant content from Firm tools and precedents, external website, sourcing and editing CVs, Firm experience searches and preliminary selection, rate cards, formatting tasks (e.g., request image searches, cleaning of documents)
- Write and tailor content (including creating a first draft of non-complex executive summaries to support pitch lead efforts and creating new content based on existing materials)
- Develop presentation materials, including placemats for pitches and pursuits
- Coordinate and organize input from multiple Business Developers (e.g., outreach re CVs, capability matrices, deals, etc.)
- Populate client templates and client questionnaires hosted on portals
- Format and proofread GCP-led proposals
- On-time draft delivery of proposals and input — meeting internal deadlines and requirements
- Continued support throughout the pitch life cycle
Pitch Research and Reporting:
- Research for proposal strategy development (including pre-panel planning) cover past proposals, terms & conditions, run financial reports, client research (or liaise with the research team)
- Summarize research output, identify red flags, opportunities, and key points for consideration during kick-off and opportunity assessment
- Upload materials and edit entries in the pitch tool, and pitch and panel trackers, following pitch submission
- Monitor and follow up on the outcome of proposals with the pitch lead and update the trackers accordingly
Pitch Enablement:
- Liaise with other Firms' departments to update pitch tool content revised/created in the context of a proposal
- Guide local offices in navigating the various pitch tools
Skills and experience:
- A bachelor’s degree or equivalent relevant work experience
- Some experience in a business development role in a business and/or professional services environment; law firm experience is preferred
- Hands-on experience in proposal development, including writing and project management, is a significant advantage
- Excellent writing and oral communication skills in English, including grammar, spelling, and punctuation
- Able to take initiative, set priorities, and see projects through to completion to creatively solve problems and implement solutions
- Excellent organizational and project management skills
- Strong communication and interpersonal skills
- Client service focus, flexible, can-do attitude; motivated and enthusiastic; personal drive and energy
- Experience in BD/ communications in professional services is advantageous
- Proficient in Microsoft Office, particularly PowerPoint, Word, Excel, and Photoshop, is good to have
