The Revenue Specialist will be responsible for managing the end-to-end portfolio for the Partner or Client Pods they support including account set up, billing, and collection arrangements, and inventory management. The role-holder will develop strong collaborative relationships with the attorneys throughout the full cycle of client invoicing and collections. The individual will analyze inventory statistics, prepares supporting documentation, and makes recommendations based on business strategies. They will work closely with management on the training and mentoring of Pod members.
Main responsibilities:
- Establish, foster, and maintain professional and collaborative relationships with attorneys, pod professionals and clients to ensure compliance with both attorney and client specifications, manage all billing and collections processes within their Pod, from engagement to collections with tact, diplomacy, and effective negotiation skills
- Verify rates with the rate analysts, review, and implement the outside counsel guidelines, monitor fee caps, tier discounts, and matter budgets; set up and monitor alerts; communicate with the firm’s Billing & Intake Committee regarding discounts, write-downs, and write-offs
- Manage the draft to the final bill process with the Biller; ensure that billing attorneys receive accurate drafts and that they return their drafts in a timely manner; oversee submission of finalized bills/eBills in appropriate template format with Biller, adhere to the attorney and client specifications and confirm the final bills have been submitted to the client and are posted in the accounting system
- Collaborate with the eBillers for new client account set-ups with eBilling requirements; work to update appropriate fields according to client billing guidelines; submit invoices electronically, take accountability for successful submission, and troubleshoot issues; and follow up regarding acceptance and timely payment of eBills with eBilling team
- Communicate directly with clients as requested or as established; communicate arrangements with attorneys and clients on their matters; provide clients with requested information on any special billing and or collection arrangements and respond to all inquiries relating to same
- Respond to inquiries relating to accruals, audits, and payment reports; recommend solutions based on billing trends relating to realization and prepare ad hoc reports upon request
- Prepare effective monthly billing and collections forecasts for assigned portfolio(s); maintain updated draft status report and collection projection tools and monitor billing and collection numbers daily
- Monitor the unapplied cash report and offer resolutions when applicable and assist Accounts Receivable with accurate payment applications; keep partners updated on available, unapplied and trust funds and applies funds when needed
- Establish effective back-up support processes (cross-training and knowledge transfer) to ensure seamless support for all portfolio matters
- Possess the ability to step in for any Pod professional and support their work including understanding how each technology platform works and the ability to handle basic responsibilities across matter opening, billing, ebilling and collections
- Train and mentor Pod team members and peers
Skills and experience:
- A bachelor’s degree in accounting, Finance, Business, or equivalent experience
- Prior law firm billing or revenue cycle experience is required
- Experience working with Financial Management Systems; familiarity with Intapp and SAP preferred
- Strong understanding of the end-to-end revenue lifecycle including Matter Opening, Compliance, Rates, Billing, and Collections
- Elevated level of business acumen with the ability to assess information quickly and anticipate needs and outcomes
- Able to lead teams of professionals including prioritizing and guiding their work, offering improvements and correcting issues
- Act as the single point of contact for questions, handing concerns, escalating to proper leaders; taking ownership and being accountable
- Excellent skills in Microsoft Excel, with strong competency in PowerPoint, Word, and online research tools
- Able to ensure accurate data integration, maintain data integrity, and support process efficiency across systems
- Proven ability to independently investigate, diagnose, and resolve complex operational or financial issues
- Strong critical thinking, diligence, and the ability to produce accurate, high-quality work under pressure
- Excellent written and verbal communication skills, with the ability to present complex information clearly and concisely
- Confident engaging with senior Partners, Finance leadership, and cross functional teams
- Able to deliver exceptional client service through teamwork, collaboration, and independent initiative
- Demonstrate discretion in handling sensitive and confidential matters
- Resolute, motivated, and able to manage competing priorities with professionalism and sound judgement
- Able to multitask, manage shifting deadlines, and deliver high-quality outputs in a fast-paced environment
- Strong organizational skills with the ability to prioritize effectively
- Flexibility to work additional hours as required
